Overview

We are seeking a highly motivated and experienced Personnel Logistics Team Lead to join our client based in Bridge of Don. In this role, you will report to the HR Supervisor and lead a dedicated team responsible for managing personnel logistics. You will play a pivotal role in supporting the Aberdeen ROV office and its global worksites, ensuring seamless coordination of crew mobilisation and travel arrangements. Acting as the primary point of contact for the Travel Management Company (TMC), you will oversee efficient workload distribution and ensure compliance with operational requirements.

Responsibilities

As the Personnel Logistics Team Lead, your key responsibilities will include:

  • Supervising, mentoring, and supporting the Personnel Logistics Team to ensure balanced workloads and optimal performance.
  • Coordinating the timely and cost-effective mobilisation and demobilisation of personnel worldwide to meet crew change schedules.
  • Managing all personnel logistics for assigned vessels and ensuring Department Managers, Offshore Personnel, and the team are informed of mobilisation and visa requirements.
  • Verifying the validity of all offshore certifications prior to mobilisation, including but not limited to Passport, Seafarer’s ID, BOSIET/FOET/STCW/OLF, OGUK Medical, and Yellow Fever.
  • Collaborating with HR to schedule training and medical refreshers in alignment with mobilisation dates.
  • Arranging and managing all travel requirements (flights, car hire, hotels, trains) through the TMC, ensuring compliance with contractual and operational needs.
  • Maintaining accurate and up-to-date personal details and travel preferences, ensuring timely communication with HR for processing.
  • Assisting the HR team with personnel movements and liaising with recruitment officers regarding new hires.
  • Participating in the on-call rota (Thursday to Thursday) to address out-of-hours queries from vessels and personnel.

Qualifications

To be successful in this role, you will need:

  • 6–8 years of experience in global travel coordination within a fast-paced Personnel Logistics environment, preferably in the ROV or Oil & Gas industry.
  • Strong knowledge of visa processes, offshore training and certification requirements, and team mentoring.
  • Intermediate-level proficiency in the MS Office Suite.
  • Exceptional organisational and time management skills to handle multiple priorities effectively.
  • Excellent verbal and written communication skills to liaise with internal and external stakeholders.
